Find and manage jobs
How to find a job, see what is holding it up, move several jobs on at once, and open a job to add notes, photos and payments.
Screens may differ slightly from what you see.
What it is for
A job is the work you do for a customer once the quote has been accepted: the survey, the fitting and the paperwork that goes with it. The Jobs page shows every job and what it needs next.
Who can use it
- Everyone signed in: see the jobs list and open a job.
- Managers, Directors and Owners: change the salesperson on a job (Change salesperson).
- Payments on a job: shown to people who can take payments. The Record Payment button is hidden for anyone viewing in read-only mode. See Record a payment.
How to use it
See what needs attention
- Open Jobs from the menu.
- Look at the summary cards at the top: Total Jobs (all time), Needs Installer, Needs Survey, In Progress and Upcoming Installs. Click a card to filter the list to that group.
- Use the filter tabs to narrow the list: All, Surveyed, Approved, In Progress, Completed, Cancelled and Needs Attention.
Needs Attention lists jobs with one of these reasons:
- No Installer: nobody is assigned yet.
- No Survey: no survey date is set.
- Awaiting Deposit: the job is waiting for its deposit.
Move several jobs on at once
- Tick the jobs you want to change.
- Choose the new status. The list only offers statuses that every selected job can move to.
- The list refreshes once the change is saved.
For example, enquiry and pending jobs can go to surveyed or cancelled. Surveyed jobs can go to approved or cancelled.
Open a job
- Click the job. The Job Details page opens.
- Check the customer, the installer, the survey and install dates, and the bathroom type.
- Use the sections below the details: - Job Activity & Notes: add a note with Add Job Note. Every note is kept with the job. - Payment History: payments recorded against the job, with receipt options (see below). - Photos: site photos and renders for the job. - Related Quotes: the quotes linked to this job.
Email or print a receipt
In Payment History, each payment has receipt actions:
- Download receipt PDF saves the receipt to your computer.
- Email this receipt to the customer sends it.
- Open a draft receipt email in your mail client lets you read it and send it yourself.
- Email this receipt to Accounts sends a copy to the accounts inbox.
Check the amount and the customer before you send.
Tips
- Start your day on Needs Attention. Every job there is blocked on something.
- If you cannot move a job to the status you want, look at the other selected jobs. One of them is probably at a different stage.
- Put anything the installer needs to know in the job's notes, so it is in one place.
Things to know
- Changing the salesperson reloads the job, so the payment credit shown is current.
