Find customers and quotes on the phone
How to find a customer, call or email them from the phone, open a quote, read its items, approve items, add a note, and send the quote on from the phone.
Screens may differ slightly from what you see.
What it is for
Most of a salesperson's day is spent between a customer and a quote. The phone app lets you find the customer, ring or email them, and open and send the quote from the showroom floor or the drive home, without going back to a desk.
Who can use it
- Customers: everyone with a login can search and open customers.
- Quotes: sales and above see the Quotes tile.
- Costs and margins: shown only if your role can see costs. The phone follows the same rule as the web.
- Actions on a quote: marking it won, lost or accepted, emailing it and downloading it are checked when you tap. If the action is not allowed for you, the app says so.
How to use it
Find a customer
- Tap Customers on the home screen.
- Tap the search box, marked Search customers..., and type a name, phone number or email.
- Tap a customer to open them.
To add a customer, tap the + button, marked Add Customer. Fill in the details, then tap Create. Check first that the customer is not already on file. See Find, add and check a customer.
Call or email a customer
On the customer's screen, tap Call or Email. The phone opens its call or mail app with the customer's details already filled in.
Open a quote
- Tap Quotes on the home screen.
- Tap the quote. The quote review screen opens, with the quote document and the actions.
Approve items
If the quote has items waiting for approval, approve them on the review screen. The app confirms All items approved successfully, or All items already approved if there was nothing left to do.
Add a note
- On the quote review screen, write the note in the note box.
- Tap Save Note. The app confirms Note saved.
Mark the quote
On the review screen you can mark the quote with Mark Accepted, Mark Won or Mark Lost. The app asks you to confirm first, and tells you Quote marked as the new status once it is saved. Use the web quote for the other statuses, such as Mark as Sent or Needs Follow-up. See Work with a quote.
Send or download the quote
- Tap Email Quote to open your mail app with the quote ready to send. Check the text before you send it.
- Tap Copy Email Text to copy the text instead.
- Tap Download to save the quote document to the phone. The app shows where it saved the file.
If the document is not ready, the app says No document available. Try again after a moment, or ask the office to check the quote.
Record a payment from the quote
Tap Record Payment on the review screen. It opens the payment form. See Record a payment on the phone.
Tips
- Note what the customer said while you are still with them. The note on the quote is the first thing the next person reads.
- Check the fitting estimate before you email a quote. A quote without one cannot be accepted or converted on the web either.
- If a screen says Loading quote... for a long time, check the signal before you tap again.
Things to know
- The phone shows the quote as it was last loaded. If someone changed it on the web, open it again to see the change.
- Emailing a quote hands it to your mail app. The app does not send it for you.
