Sign in and use your home screen on the phone
How to sign in to the IBIOS app, turn on fingerprint or face login, lock and unlock it, and find your way around the home screen.
Screens may differ slightly from what you see.
What it is for
The phone app is where most staff do their day: quotes, customers, photos, payments, tasks and the goods-in scan. This article covers getting in, keeping the app locked, and finding the tiles on the home screen.
Who can use it
Anyone with a login. What you see on the home screen depends on your role. If a tile is missing, your role does not include it. Ask a manager to check.
How to use it
Sign in for the first time
- Open the app and enter your Email.
- Enter your Password.
- Tap Sign In.
- If the app offers Biometric Login, tap Enable to use your phone's fingerprint or face unlock next time. Tap No Thanks to type your password each time.
Unlock the app
When the app locks, you will see the app name, Authenticating... or Tap to authenticate.
- Use your fingerprint or face to unlock.
- If that does not work, tap Use Password Instead and sign in with your email and password.
Turn biometric login on or off later
- Open the drawer (the menu button).
- Tap the Biometric row. It shows Biometric: On or Biometric: Off, and switches it.
Use read-only mode on this phone
- Open the drawer.
- Tap the Read-only row. It shows Read-only: On or Read-only: Off.
With read-only on, the Ask IBIOS chat hides the buttons that send email, mark a customer as contacted or create a task. The setting is kept on this phone only. It is not a lock on the system, so it does not stop changes made elsewhere. Use your normal permissions for that.
Check for an update
Open the drawer and tap Check for Updates. If a new version is available you are told what is new, and you can download it.
Sign out
Open the drawer and tap Sign Out. Where it is switched on for your company, the app warns you if field work on the phone has not reached the system yet. If you see that warning, wait for the work to sync before you sign out.
Find your way around the home screen
The home screen shows a grid of tiles. Tap a tile to open it. The tiles you may see are:
| Tile | Who sees it |
|---|---|
| Quick Quote | Sales and above |
| Take Photo | Sales and above |
| Customers | Everyone |
| Quotes | Sales and above |
| Goods-In Scan | Everyone (installers can look up items only) |
| Suppliers | People who can manage suppliers |
| Orders | Sales and above |
| Web Orders | Sales and above |
| Tasks | Everyone |
| Today | Everyone |
| Payment Chases | Sales and above |
| User Management | Managers and above |
| Ask IBIOS | Everyone |
| Audit Log | People who can view the audit trail |
The bell at the top shows Notifications. The number on it is the number of unread items. Tap it to read them.
Tips
- Keep the phone locked with a fingerprint or face, so customer details are not open on a site.
- Use Today and Tasks at the start of the day. They show what is due and what is waiting for you.
- If a screen will not load, check your signal before you try again.
Things to know
- Sign out on a shared phone when you hand it over.
