Your Dashboard and My Tasks
What the web Dashboard shows, which figures and cards depend on your permissions, and how to work through your own task list on My Tasks.
Screens may differ slightly from what you see.
What it is for
The Dashboard is the first page you see after you sign in. The page calls itself your "sales command centre". It shows your quote numbers, what needs doing today, a photo upload for Quick Quote, and a few charts and cards.
My Tasks (under Automation in the menu) is your own to-do list. Some tasks are made by people. Some are made by automatic workflows and carry an Auto tag.
Who can use it
- Warehouse manager: sent to Stock.
- Installation manager: sent to Jobs.
- Sales and senior sales (by default): every figure, list and chart is over your own quotes only. It applies to people who do not have the "view all agents" quotes permission.
- Sales figures (the Accepted Value and Converted Sales cards, and the values in the pipeline chart for won stages): owners and directors by default (permission Sales Figures). When you do not have it, the cards are left out. They are never shown as £0.
- My Tasks: every signed-in user. The page only asks for tasks assigned to you. The server lets managers, directors and owners ask for other people's tasks, but this page does not offer that.
How to use it
Read the Dashboard
- Click Dashboard at the top of the menu.
- The page greets you with Welcome back and your first name. Next to it you may see the totals of customers, jobs and quotes.
- Use the date button (it starts on All Time) to change the period. The choices are: All Time, Today, Yesterday, This Week, Last 7 Days, Last 14 Days, Last 30 Days, This Month, Last Month, Last 90 Days, Last 6 Months, This Year, Last Year and Custom range…. With Custom range…, pick both dates. Nothing loads until both are set and the first is not after the second.
- Read the cards. Cards that link somewhere open the quotes list on the matching tab.
| Card | What the page says it is |
|---|---|
| Total Quotes | Count of quotes. Opens Quotes. |
| Total Quotes Value | Value of those quotes. Only shown if the server sent the figure. |
| Pipeline Value | "Sent + follow-up quotes". |
| Conversion Rate | "Accepted / (Accepted + Declined + Expired)". |
| Quotes to Chase | "Follow-ups due". |
| Expiring Soon | "Within 7 days". |
| Accepted Value | "Accepted + converted quotes". Hidden without the sales-figures permission. |
| Converted Sales | Value and the number of completed sales. Hidden without the sales-figures permission. |
| Your Target | Only if you have a target this month. Shows your progress and links to Reports. |
This article does not check them against your own records.
Work through Action Required
- Look at the Action Required panel ("What needs doing today").
- Each row shows a quote or job reference, a tag, a message, a value and the customer name.
- Click a row to open that quote, or that job if it has no quote.
- When the list is empty the panel says All caught up!
Start a Quick Quote from the Dashboard
- In the Quick Quote card ("Upload a handwritten order form"), click the box, or drag a photo onto it.
- The box accepts JPEG, PNG, HEIC or WebP up to 25MB.
- Wait while it works. When it finishes you see Quote created! with the customer name and total.
- Click Review Quote.
If the upload stops for a customer choice, the card says "This quote is waiting for you to choose the customer." Click Choose customer. The full steps are in Quick Quote from a photo.
The card also has New Customer (opens Customers) and View All Quotes (opens Quotes).
Charts and the recent list
- Monthly Trend: quotes sent, won and lost by month.
- Sales Pipeline: quotes by stage, with values: Draft, Sent, Follow-up, Hot Lead, Accepted, Converted, and a separate Declined line.
- Recent Quotes: five quotes, with Quote Ref, Total, Status, Follow-up, Items and Created. Click a row to open it. View All opens Quotes. The page labels it "Last 5 quotes processed".
- If any quotes need checking, an amber bar says how many need review. Click it to open the quotes that need review.
Cards lower down
These cards sit under the amber bar. Each one hides itself when the server refuses it for your role.
- Deposit taken, not converted: quotes that have a payment on their job but are not converted yet. See Deposit taken, not converted.
- Conversion Intelligence: conversion rate and related figures.
- Cash Flow Forecast: money received, owed and expected. Click to open it, then choose the period. The server needs the
payments.searchpermission. - Smart Reorder Suggestions: stock lines to reorder. If it cannot load, it is left out without a message.
Work through My Tasks
- Click My Tasks under Automation in the menu.
- Pick a tab: All Active, Pending, In Progress or Completed. All Active shows pending and in-progress tasks.
- Read each task: title, a priority tag (urgent, high, medium or low), the description, the due date and who created it. A task made by a workflow has an Auto tag.
- A task past its due date shows in red, for example "3 days overdue".
- To open the record a task is about, click View quote, View job or View customer.
- To finish a task, click the empty circle on its left. The task moves to Completed.
The top of the page says how many tasks you have, for example "3 tasks to do".
Tips
- Pick a shorter period such as This Month when you want a quick view. All Time is the starting choice.
- Use Action Required as your morning list. Each row opens straight to the quote or job.
- Tasks are sorted by priority first, then due date. Urgent tasks come first.
- A task that has been snoozed until a future time is left off the list until that time passes. My Tasks has no snooze button.
Things to know
- There is no button to create or edit a task on My Tasks. The page only lists and completes them.
- You can only change tasks that are assigned to you or that you created. Any other task reads as not found.
- A figure missing from your Dashboard usually means your role lacks the permission. Ask a manager before assuming it is an error.
- The page refreshes when you come back to its browser tab.
- Overdue marking on My Tasks compares the due date with your computer's clock.

Common questions
Why can I not see some cards on my dashboard?
Some figures and cards are hidden from roles without the matching permission. The Accepted Value and Converted Sales cards are for owners and directors by default. When you do not have the permission, the cards are left out, never shown as zero.
What is My Tasks in IBIOS?
