Quote wording, defaults and company switches
A guide to the cards on the Company Settings page that control how new quotes start, the wording on quote documents and emails, and company-wide on/off switches.
Screens may differ slightly from what you see.
What it is for
The Company Settings page (Admin > Settings) holds a long list of cards under the address and registration details. Most of them are company-wide choices: what a new quote starts with, the wording customers read, and who can see or do certain things. This article lists each card, who changes it and what it does, using the card's own title.
For the company details, logo and bank details at the top of the page, see Company details, logo, bank details and branding.
Who can use it
- Everyone who opens the page can see most cards. The server decides who can change each one.
- Owners and directors change most switches.
- Some cards use a named permission, for example "Change how many days quotes stay valid" or "Change the quote email wording". These are set on the Permissions screen. See Permissions and access rights.
- Some cards hide themselves completely when the company does not have the feature, or when you have no access. If a card below is missing on your screen, that is why.
How to use it
Cards that change what quotes say or start with
- Quote defaults. What a new quote starts with, such as how prices are shown, product photos and the moodboard. The card says each quote keeps its own settings, and changing a default here never changes a quote that already exists. Nothing saves until you select Save.
- Quote email wording. Your own opening line and your cancellation rights text in the quote and contract email. The cancellation rights text is empty unless your company fills it in, and nothing is added to the email while it is empty. Enter the wording your own adviser gives you.
- Quote document wording. The fitter estimate line on the customer quote. The line must keep the
{low}and{high}placeholders. A single-figure estimate prints as "Estimated at" plus the figure. - Electric shower disclaimer. The wording printed under the fitting estimate when a quote has an electric shower, and the product categories that count as electric showers.
- Quote validity. How many days a quote stays valid once sent. It applies to new quotes. An "Extend open quotes" step shows a preview first, then needs you to type EXTEND.
Cards that are on/off switches
- Countertop basin tall-tap check. Off by default. When on, quotes warn and suggest. Nothing on a quote changes by itself.
- Showroom consultation sheets (QR) and Showroom QR: stop working once the quote is accepted. Shown only while the showroom feature is on for the platform.
- Sales Performance report. Off by default. Switching it on makes the report exist for your company. Who opens it is still a permission.
- Order Sheets: track fully dispatched jobs. On by default. On: the Order Sheets list gets a "Mark fully dispatched" button and hides dispatched jobs unless "Show all" is ticked. Off: every job shows and there is no button.
- Quotes & jobs: change salesperson. On by default. When off, the Change salesperson button disappears.
- Refunds. The card says that off means nobody in your company can refund. On means the people allowed by the "Process refunds" permission can.
- Who can see payment lists and Who can see sales figures. Each lets managers in with one click. Other roles or single people are given access on the Permissions screen.
- Allow unlinked product lines on quotes. Yes or No. Switching to No first shows how many open quotes are affected and needs you to type DISALLOW and give a reason. It is hidden while the platform has the option off.
- Sales & Payments ledger. A switch plus a link to a Google sales sheet. "Check sheet layout" only reads the sheet. Nothing is written to it.
Cards with a number or a list
- Other salespeople's jobs. For people who can only see their own quotes. The card offers a "Hidden" choice that takes other salespeople's jobs out of the jobs list, search, order sheets and Ask IBIOS. Read the full wording on the card before changing it.
- Write-off & credit approval limit. The amount up to which a write-off or credit applies straight away. Above it, a different owner or director must approve. The same control also sits on the write-offs screen under Payments.
- Call keyword trackers. Words to look for in call reports. Matching is exact whole words, not AI. Renaming or removing a tracker deletes its stored matches, so Save first shows a confirmation step.
- Email sending. How IBIOS emails customers as your company: sender name, reply-to address, who gets a copy, Cc or Bcc, and follow-ups on expired quotes. You can also connect your own sending domain and use "Check again". It hides itself for a company without the email module.
Make a change
- Open Settings from the Admin menu.
- Scroll to the card.
- Change the value. Switches save as soon as you use them, in most cases. Cards with a Save button need you to select it.
- Read the green or red message on the card. A red message is the server refusing, for example for lack of permission.
Tips
- The company-wide switches change what everyone sees. Tell your team before you turn one off.
- Quote wording cards say that existing quotes do not change. The validity card is the exception, through its separate "Extend open quotes" step.
- If a card refuses your change with a permission message, ask an owner or director.
Things to know
- Switches like Refunds, Payment lists and Sales figures work together with permissions. The switch opens the door. The permission says who may use it.
- The page also has Job Note Types (owner only) and a few other cards. Keys, login security and the app download are in AI keys, login security and the app download.
- Several cards were added recently. Their text can change. Trust what the card says on screen.

Common questions
Does changing a quote default alter existing quotes?
No. The Quote defaults card says each quote keeps its own settings, and changing a default never changes a quote that already exists. Nothing saves until you select Save.
Why is a card missing from my Company Settings page?
Some cards hide themselves completely when the company does not have the feature, or when you have no access. Owners and directors change most switches, and a few use a named permission.
