Owners and directors settings
The Owners / Directors page holds display switches, the cost-price visibility list, the company time zone and date format, and blind-copy addresses for quote and supplier order emails.
Screens may differ slightly from what you see.
What it is for
This page (Admin > Owners / Directors) collects company-wide choices that only owners and directors should make. The page describes its toggles as controls for what commercially sensitive figures appear in the app, and says "Changes apply to everyone in your company."
Who can use it
Owners and directors. The menu entry is shown to them only. A person without the role who reaches the page sees a card titled Restricted with the text "These settings are visible to directors and owners only."
How to use it
Display toggles
The Display toggles card has three switches:
- Show quote discount % on the quotes list / kanban. Shows each quote's discount % next to the salesperson on the quote cards. The text says it is visible to directors and owners only, the figure is never sent to other roles, and the default is off.
- Keep web customers separate from regular customers. On by default. When on, customers created from web or channel orders appear only in the Web Customers list. Turn it off to combine them into the regular Customers list as well.
- Show supplier deliveries on the Calendar. Default off. When on, each supplier order's expected arrival appears on the Calendar as a Delivery event.
Click a switch to change it. The page saves, and puts the switch back if the save fails.
Who can see cost prices and margins
- Find the card Who can see cost prices / margins.
- Tick the roles that may see cost prices, trade prices and profit margins.
- Optionally tick individual people. The card says you can grant cost visibility to a person even if their role is not ticked.
- Select Save cost visibility.
The card says anyone not granted never receives these figures from the system. Leave it unchanged to keep the default. If you have not saved here, the card tells you the default roles. Once you save, your list becomes the authority and the old role flag no longer grants access on its own. That means you can both add and remove roles.
Time zone and date format
- Find Time zone and date format.
- Pick the time zone and the date format.
- Save.
The card says quote documents, contract updates and the customer's moodboard page are dated in this time zone. Staff screens follow each person's own device. If you change the time zone, a confirmation warns that quotes created close to midnight may get a new document revision the next time they are downloaded.
Blind copy (Bcc) addresses
- For Quote email blind copy (Bcc), type an address. The card says this is who gets a blind copy of every quote email your company sends, and it applies to the quote email, the follow-up and the budget follow-up.
- Select Save blind copy.
- For Supplier order email blind copy (Bcc), do the same. It covers purchase-order emails composed from the stock page.
Both cards say empty means no blind copy at all, and nothing is inherited from any other company. After saving, the card shows "Currently blind-copying" the address, or "Currently no blind copy".
Tips
- Check the cost visibility list after you add a role. Saving makes your list the only list.
- Check what a normal salesperson sees after you change cost visibility.
- A blind copy address receives every matching email. Use a shared inbox you control.
Things to know
- The cost visibility card is about what the system sends. Figures are stripped on the server for anyone not granted.
- These settings are separate from Company Settings. See Quote wording, defaults and company switches.
- The Permissions screen has a separate right to see company bank details and other items.
