Recycle bin, redirects and merge history
How to bring back a deleted customer, job or quote, undo a customer merge, and stop an old link forwarding to a merged record.
Screens may differ slightly from what you see.
What it is for
Three Admin pages help you put things right after a deletion or a merge:
- Recycle Bin shows deleted customers, jobs and quotes, and restores them.
- Merge & Delete History lists every customer merge and lets you undo one.
- Redirects lists the old record links that forward to a merged record, and lets you stop a forward.
Who can use it
All three menu entries are shown to people with the Restore Records permission. The Recycle Bin page shows "Restricted" to anyone else and says you need the permission (Manager, Director or Owner). Check the Role Permissions panel on User Management.
How to use it
Restore a deleted record
- Open Recycle Bin from the Admin menu.
- Use the type filter (All types, Customers, Jobs, Quotes) or search by reference.
- The columns are Type, Reference, Deleted, By, Reason and Action.
- Select Restore on the row.
- Confirm. The message reads: Restore "…"? It (and its batch) will return to the active list.
The page says nothing here is permanently gone, and that a restore brings back a record and everything deleted with it. A green message confirms the restore. A red message shows the server's refusal.
Undo a customer merge
- Open Merge & Delete History. The page heading is "Merge History".
- Find the merge. The columns are When, Merge, Records moved, Status and Action.
- Select Undo merge.
- Confirm. The warning reads that undo restores the source and moves everything back to a byte-identical pre-merge state.
A merge that has been undone shows "Reversed".
Stop an old link forwarding
- Open Redirects. The heading is "Record Redirects".
- The page explains that old links from merged-away records forward here, as a temporary 302.
- Find the row (Type, Forwards, Created) and select Deactivate.
- Confirm. The warning says this does NOT un-merge. Use the history page's Undo for that.
Tips
- Check the reason column in the Recycle Bin before you restore. It tells you why it was deleted.
- To find out who deleted something, search the Audit trail by the reference.
- Merge a customer only after checking both records. Undo exists, but it is easier not to need it.
Things to know
- The Recycle Bin covers customers, jobs and quotes. The filter offers no other types.
- A restored record returns with the items deleted in the same batch.
- Deactivating a redirect is separate from undoing a merge.
- The pages are read-only for people without the Restore Records permission.
