Warehouses and stock locations
See your warehouses and the zones, aisles, shelves and bins inside them, and add a new warehouse or location.
Screens may differ slightly from what you see.
What it is for
Stock is held in places. A warehouse is a site. A location is a place inside it, such as a zone, an aisle, a shelf or a bin. The Warehouses tab on the Stock page shows them and lets you add more.
Who can use it
- Seeing them: anyone who can open the Stock page.
- Add Warehouse: the server needs a manager, director or owner role, and also the permission to manage suppliers. That is the same permission that guards supplier and product admin.
- Add Location: the server needs the warehouse manager role, or a manager, director or owner who also has the permission to manage suppliers.
- Both buttons are shown to everyone on the tab. If you do not have the right, the save fails with "Failed to create warehouse" or "Failed to create location".
How to use it
Look at a warehouse
- Open Stock from the menu and press the Warehouses tab.
- Each warehouse is a card. A Default badge marks the default warehouse. An Inactive badge marks one that is switched off.
- Click a card. Below the cards, Location Structure shows the tree for that warehouse.
- In the tree, click a row to open or close what is under it. Each row shows the location name, its code in square brackets if it has one, its type, and the number of items held there.
If a warehouse has no locations, the page says "No locations configured for this warehouse yet."
Add a warehouse
- On the Warehouses tab, press Add Warehouse.
- Fill in Warehouse Name and Code. Both are required. The prompts suggest "Main Warehouse" and "MAIN".
- If you want, fill in City, Postcode and Notes.
- Press Create Warehouse.
On success you see "Warehouse created successfully". If you leave out the name or code you see "Name and code are required".
Add a location
- Press Add Location. If you have already clicked a warehouse card, that warehouse is chosen for you.
- Choose the Warehouse. It is required.
- Type the Location Name. It is required. The prompt gives "Aisle A, Shelf 1" as an example.
- If you want, add a Location Code (for example A-01) and a Description.
- Choose the Type: Zone, Aisle, Shelf, Bin, Showroom or Van. It starts on Zone.
- To put it inside another location, choose a Parent Location. Leave it on "None (top level)" for a top-level place.
- Press Create Location.
On success you see "Location created successfully". If name or warehouse is missing you see "Name and warehouse are required".
Tips
- Plan the tree before you add many locations. A zone, then aisles in it, then shelves, then bins is the order the types suggest.
- Set a Location Code on any place you will scan or label later. The phone screens scan location labels.
- Importing old locations from another system is a different job. See Import and mapping tools.
