Connect Wix Bookings and sync your calendar
Store your Wix key, test it, map staff and services, and keep Wix bookings and IBIOS appointments in step.
Screens may differ slightly from what you see.
What it is for
The Calendar connection page (Admin menu) joins IBIOS to your Wix Bookings calendar. When it is working, IBIOS appointments go to Wix and Wix bookings come into IBIOS. The sync panel's own subtitle says: "Two-way: IBIOS bookings go to Wix, Wix bookings come into IBIOS".
Who can use it
Owners and directors, who also need the appointments configure permission. Other people see a message that they cannot open the page. If appointments are not switched on for your company, the page says there is no calendar connection to set up.
How to use it
Save your Wix key
- Open Calendar connection.
- Choose the Wix card, or pick Wix in the Calendar provider box.
- Fill in the fields the page shows. These include the key and a Site ID. There is also an optional Account ID.
- Press Save. The page says "Saved. Press Test connection to check it works."
The key is stored encrypted for your company only. It is never shown again after you save it. Leave a key box blank to keep the stored key.
The page checks the ids before saving. Do not paste your Account ID into the Site ID box. Both should look like 1a2b3c4d-1234-5678-9abc-1a2b3c4d5e6f.
Find your Site ID
- Save your Wix Account ID first.
- Press Find my sites.
- Press Use this site next to the right one, then press Save.
Test the connection
- Save any changes first. Test connection stays greyed out until you do.
- Press Test connection. A green tick or red cross appears with a message and the time.
Map staff and services
Under Wix Bookings – sync & mapping, in Staff and services:
- Press Load from Wix (it may load on its own). The button then reads Reload from Wix.
- Match each Wix staff member to an IBIOS user, then press Save staff mapping.
- For each appointment type, choose the Wix service, or leave "Not sent to Wix". Press Save service mapping.
Switches and Sync now
- Bring Wix bookings into IBIOS (pull) and Send IBIOS bookings to Wix (push) are tick boxes.
- Who emails / texts the customer about the appointment lets you choose which side sends. The page says only one side ever messages the customer.
- Sync now runs a sync straight away. The page says it otherwise runs about every 5 minutes.
When something needs attention
- Needs a decision: items the sync could not settle. Each has a Mark resolved button once you have fixed it.
- Failed items: each has a Retry button.
- Recent runs: a short log of recent syncs.
- The health line reads "Healthy." or says how many runs failed in a row, or that syncing is paused after repeated failures.
Other settings on the page
These appear once a calendar is connected:
- "Don't send provider customer messages for bookings that originated in another connected calendar".
- "Ignore provider opening hours when IBIOS shows the staff member free".
- "Treat all-day external events as busy".
- "External bookings that clash": always book in and flag, or hold for review. Only the owner can change this one.
Tips
- Set up appointment types first so they can be mapped to Wix services.
- If a Wix staff member is not mapped, the booking lands in Needs a decision with a link to the mapping section.
Things to know
- Disconnect asks you to confirm. It destroys the stored key, not just switches it off.
- Each calendar provider is a separate connection. Saving one leaves another connected.
- Customer details are not shown in the sync log. It holds ids and outcomes.
