Stock movements and traceability
Read the log of every stock movement, and trace a product, job, customer, supplier order or component box back through the stock records.
Screens may differ slightly from what you see.
What it is for
Every time stock comes in, goes out or is changed, a movement is recorded. Two tabs on the Stock page let you read that history:
- Transfers & Movements is a log of the latest movements.
- Traceability answers questions such as "where did this product come from?" and "what stock went to this job?"
Both tabs are for reading. They do not move or change stock.
Who can use it
Anyone who can open the Stock page can use both tabs. The server reads these records for any signed-in user. For job and supplier order searches the server also applies its own rules about which jobs and orders you may see, so a search can come back empty for something you are not allowed to view.
How to use it
Read the movement log
- Open Stock from the menu and press Transfers & Movements.
- To narrow the list, use the first box. It starts on All Movement Types. The types are Received, Transfer In, Transfer Out, Dispatched, Adjusted, Returned, GRN Received, Allocated and Deallocated.
- Read the table. The columns are Date, Type, Product, Qty, From, To, Ref and User.
The page loads up to 100 of the latest movements. If nothing matches the filter it says "No movements match the selected filter."
Quantities in green are added to stock. Quantities in red are taken away.
Trace stock
- Press the Traceability tab.
- Under Search Mode, choose one of: By Product, By Job, By Customer, By Supplier Order or By Component Box.
- Type the number in the box. The box asks for a product ID, job ID, customer ID or supplier order ID, depending on the mode. These are ID numbers, not names or references.
- For By Component Box, also fill in Box Number.
- Press Search, or press Enter.
If the number is not a whole number above zero you see "Please enter a valid numeric ID". If nothing is found you see a message such as "No product found with ID 123".
What each search shows
- By Product: the product's Components / Boxes, Goods In and Goods Out, each with dates, types, quantities, boxes, locations, supplier order numbers, invoice references and notes.
- By Job: the products set aside for that job, with the supplier order each box came from. If none, you see "No stock allocations".
- By Customer: each job for that customer with its items.
- By Supplier Order: Goods Received Notes, Stock Movements and Customer Allocations for products from that order.
- By Component Box: Current Stock by location and Movement History for one box of a product. A Shared badge shows if the box is shared between products.
Tips
- Have the ID number ready before you search. The search takes the number, not a name or reference. The Adjust Stock form on the Stock Levels tab asks for the same kind of number.
- Use the movement log for "what happened today". Use traceability for "where did this item go".
Things to know
- The movement log shows the latest 100 only. It is not a full history. Use By Product for the full history of one product.
- The tab name says "Transfers", but the tab itself has no button to move stock between locations. It is a log.
- They are not covered here.

Common questions
What can I trace on the Traceability tab?
Choose By Product, By Job, By Customer, By Supplier Order or By Component Box. The box asks for ID numbers, not names or references, and job and order searches follow the server's access rules.
Can I change stock from these tabs?
No. Both tabs, Transfers and Movements and Traceability, are for reading. They do not move or change stock. The movement log loads up to 100 of the latest movements.
