Back-orders
See sales-order lines that are waiting for stock, grouped by product, and raise a draft purchase order to replenish.
Screens may differ slightly from what you see.
What it is for
When a web order needs more of a product than you have, the short quantity is a back-order. This page lists those shortfalls by product, oldest first, so a manager can order more.
Who can use it
The navigation shows Back-orders to roles with the supplier-management permission.
How to use it
- Open Back-orders.
- Read the table. Columns: Product (name and SKU), Qty short, Orders (how many orders are waiting), Oldest wait, Suggested reorder, Supplier, Inbound PO / ETA and Action. A small flag beside a product name marks it as flagged.
- Click Raise PO on a row. A draft purchase order is created and the open back-orders are linked to it.
- A blue message confirms. Close it with the cross.
- Go to Supplier orders to review and send the draft.
If there is nothing waiting, the page says: "No open back-orders - everything is in stock or already on order."
Tips
- "Inbound PO / ETA" shows the order reference and the expected date once a PO is linked.
- On a single web order, a banner shows its own back-orders. It turns green when the stock has arrived and is ready to dispatch.
Things to know
- Raise PO never sends anything to the supplier.
- The figures are quantities only. The page shows no cost.
