Web Orders: find, filter and update orders
Search and filter orders that arrive from your web shop, spot problems, change the status of several orders at once and export a CSV.
Screens may differ slightly from what you see.
What it is for
Web Orders lists orders that come in from your connected shop channels (ShopWired and Wix are the two platform names the page knows), plus orders you create by hand. You use it to find an order, see what needs attention, and move orders along.
Who can use it
Every signed-in user sees it in the navigation. Which orders you see can depend on your brands, because the server applies brand scoping. Role checks on actions are made by the server.
How to use it
Find an order
- Open Web Orders.
- Type in the search box ("Search order #, customer, email, postcode..."). The list updates after a short pause.
- Click a brand button above the list to show one brand. Each shows a count of the orders loaded.
- Click a status button: All, New, Confirmed, Picking, Packed, Dispatched, Delivered, Returned, Cancelled.
- Use the extra drop-downs: payment (Any payment, Unpaid, Paid, Part-refunded, Refunded), flags, sort order, and a From and To date.
- If shown, Any ShopWired status filters by the shop's own status wording.
Spot orders that need attention
The flag drop-down has three options: Status conflict, Unmapped SKU and Unlinked customer. In the table, a Conflict badge means IBIOS and the website disagree about the status. See Work on a web order to resolve it.
Sort the list
The sort drop-down offers Newest first, Oldest first, Total (high to low), Total (low to high), Status (A to Z), ShopWired status (A to Z or Z to A) and Imported (newest).
Change the status of several orders
- Tick the boxes at the left of the orders (the top box selects all loaded).
- A bar shows how many are selected. Pick a status in Set status....
- Click Apply.
- If any fail, or the change was saved in IBIOS but not yet pushed to the shop, a message counts them. Click Clear to drop the selection.
Open an order
Click the row or View. The table shows Order #, Brand, Customer, Status, Total and Placed. If the shop's own status differs from the IBIOS status, it is shown in small text under the badge.
The list loads 50 at a time. Click Load more at the bottom.
Export to CSV
Click CSV (tooltip "Download all visible orders as CSV").
Start a manual order
Click New manual order. See Create a manual order.
Tips
- The order ref shows the shop's reference. A small badge shows the platform.
- Use the flag filter first thing in the day to clear conflicts and unlinked customers.
Things to know
- Bulk status change pushes the new status to the shop where it can. Use it on orders you have checked.
- The CSV link carries only the brand choice (as an integration filter). See the notes below.
