Create a manual order
Enter an order by hand (a phone or showroom order) with a customer, brand, items and delivery address.
Screens may differ slightly from what you see.
What it is for
Use this when an order did not come through the web shop but should still be picked and dispatched from the same list, for example a telephone order.
Who can use it
Anyone who can open Web Orders can reach the button. The server decides whether the order is accepted.
How to use it
Create the order
- On Web Orders, click New manual order.
- Customer is optional. Pick an existing customer, or leave it blank for a walk-in.
- In Brand & details, choose the Brand. It is marked required when brands are available, and chosen automatically if you only have one. Choose the Currency (GBP, EUR or USD). External reference is optional (for example a PO number).
- In Items, search ("Search products to add (name, SKU)...") and add products. Each line has Item, Qty, Unit price, Fulfilment and Line total. The Fulfilment choice is Auto, Stock or Drop-ship. Auto lets IBIOS decide from the product's handling policy.
- You can also add a line by typing a description and price.
- Fill in the Shipping address: Recipient name, Phone, Address line 1 and 2, City / town, Postcode, Country, Email.
- Click Create order. You are taken to the new order's page.
What stops you submitting
Create order stays disabled until there is at least one line, every line has a quantity above 0, and every line has either a product or a description with a price of 0 or more. A brand must be chosen if brands are listed. The page hints: "Each line needs a qty > 0 and a product or name."
Click Cancel, or Back to orders, to leave without saving.
Tips
- If no customer is picked, the order's customer name is taken from the Recipient name in the address.
- The customer's email on the order comes from the address Email box.
Things to know
- A manual order uses IBIOS's own status list (New, Confirmed, Picking, Packed, Dispatched, Delivered, Returned, Cancelled), not a shop's status list.
- Once created, lines can be edited later only while the order's status allows it and no stock is allocated (see Work on a web order).

Why is Create order greyed out?
It stays disabled until there is at least one line, every line has a quantity above 0, and every line has a product or a description with a price. A brand must be chosen if brands are listed.
