Approve timesheets and check the team week
Approve or send back submitted timesheets, check who has not submitted, enter hours for someone, and export hours.
Screens may differ slightly from what you see.
What it is for
Timesheet Approvals (Workforce section) holds submitted timesheets waiting for a manager to approve or send back with a reason. It also has a team view and a way to enter hours for a worker.
Who can use it
- Seeing the queue needs the view-team permission. Without it the page says "You do not have permission to view team timesheets."
- Approve, Reject and Reopen need the approve permission. Without it the detail shows a View only badge.
- The Enter on behalf tab appears only if you are confirmed as holding the approve permission.
How to use it
Approve or send back a timesheet
- Open Timesheet Approvals. The Pending approval tab lists Worker, Period, Hours (recorded / expected), Status and Submitted. Overdue items carry an Overdue badge. You can search by worker.
- Click a row to open the timesheet.
- Check the hours. A line shows if the worker is under expected hours, and how many leave or bank-holiday days are in the period.
- Press Approve, or Reject.
- For Reject, type a reason. The button stays off until you do. The worker sees it.
- An approved timesheet can be sent back with Reopen so it can be corrected.
Check the team week
- Choose the Team week tab.
- It shows everyone you oversee for one week, with their timesheet status and hours against expected. This is for chasing people who have not submitted.
- Click a row to open that person's timesheet.
Enter hours on someone's behalf
- Choose the Enter on behalf tab.
- Choose a worker. The page says only workers who do not log in are listed, unless your company allows managers to enter for staff who log in.
- Pick a job and activity, enter hours, Save, then submit. Each entry is recorded against you as the person who made it.
Export hours
- In Export hours, choose a From and To date. The start must be on or before the end.
- Download the hours by person, job and week, or the payroll export. The panel says approved timesheets only.
- If your export is limited to your brands, the message says it is not a full payroll file.
Tips
- You cannot approve your own claims on the expenses side. See Claim expenses and mileage.
- You can link straight to the team week with
?tab=team-week&week=.
Things to know
- Timesheets here are for tracking and job costing, as the page help states.
- Permission hiding is only a hint. The server decides, and its refusals are shown.
